What is a call sheet?

A call sheet is the single most important document on a shoot day. It is the daily brief the assistant director sends to cast and crew the night before, telling everyone where to be, when to be there, and what is being shot. A complete call sheet lists the shoot date and day number, the general crew call time and individual call times by department, the location with its address, parking, and nearest hospital, the scenes being filmed with their scene numbers, page counts, and day or night notes, the cast with makeup and on-set times, background and extras, meal breaks, weather with sunrise and sunset, special equipment, and the key contacts running the day.

Most crews build call sheets from a static template in Excel or Word, or inside a production management tool. The template gets the structure right, but it lives apart from everything the call sheet is drawn from: the shooting schedule that sets the call times, the shot list that defines the day's coverage, and the contact list for the cast and crew.
