It has no call sheets, no stripboard, no day-out-of-days, no cast scheduling, no crew database, no document distribution and no daily production reports. Most bad shoot days were unachievable on paper before anyone arrived. Storyflow puts the look, the locations, the scene list and the unanswered questions on one canvas so the gaps are visible while they are still cheap to close. Every shoot day runs three clocks at once, and the first assistant director's entire job is keeping them in agreement.
The call sheet clock is the plan. Crew call at 06:30, first shot at 08:00, scene 14 before lunch, company move at 14:00, wrap at 19:00. It was built weeks ago from a breakdown and a schedule, and it represents somebody's best estimate of a day nobody has lived yet.
The camera clock is reality. What has actually been shot, how many setups are genuinely finished, and how many are finished in the sense that means "we will not come back to this." This clock is almost never displayed anywhere. It lives in the script supervisor's notes and the first AD's head, which means it is legible to two people on a unit of forty.
The constraint clock is what cannot be negotiated. Sunset at 20:41. Meal penalty at the sixth hour. Eleven hours of turnaround before tomorrow's call. The location's permit ends at 18:00. A talent release at 16:00 for a child performer. These are not preferences, they are walls, and they arrive whether or not you are ready.
A shoot day does not go wrong at the moment you fall behind. It goes wrong at the moment nobody can tell you by how much.
That distinction is the whole argument of this article. Falling behind is normal and recoverable: you drop a setup, you combine two angles, you move a scene to the pickup day. What is not recoverable is discovering at 16:30 that you are two and a half hours down when you thought you were forty minutes down, because by then every cheap option has expired and the only remaining choices are expensive ones.
So the useful question for a shoot day app is not "does it make a nice call sheet." It is "does it tell me the gap between the three clocks while the gap is still small."
Almost nothing does. That is why this list looks different from most pre-production tool comparisons.

Prices are the publicly listed rates at the time of writing, and several of these quote per production rather than publishing rates. Confirm before committing.
Five of these (StudioBinder, Shot Lister, Google Sheets, PhotoPills, paper) I have used on real shoot days, including days that went badly, which is the only useful test. Movie Magic Scheduling I have worked from as a director rather than built in. The rest I evaluated hands-on against the same criteria, and where a claim rests on published documentation rather than my own use, the review says so.
Five criteria, in this order:
Deliberately not weighted: pre-production planning depth. That is a different article and a different purchase, and conflating the two is why teams buy software that is excellent in prep and absent on the day.
This deserves its own section because it eliminates half the category and almost no comparison mentions it.
Shoot days happen in car parks, warehouses, forests, basements, tunnels, moving vehicles, and the fourth floor of a building with concrete walls. Signal is unreliable in exactly the places where production is most interesting, and it is worst at the moment of highest need, because that is when forty people are all trying to load the same document.
A cloud tool with no offline mode has a specific failure shape. It works in prep, it works at the production office, it works during the tech scout, and then it fails at 07:40 on the day when the second AD cannot load the call sheet for the background actors who have just arrived. The tool did not degrade gracefully; it simply became unavailable, and the fallback is somebody's screenshot from last night, which is the previous version.
Two practical consequences follow, and both are free.
Export before you leave. Whatever built the call sheet, carry a PDF on the device and print enough copies. This is standard practice on well-run units and skipped constantly on small ones.
Treat the printed call sheet as the source of truth for the day. Not because paper is better, but because it is the only version everyone provably has. Changes then get announced verbally and by radio, which is how they propagate anyway.
This is also why paper ranks eleventh on this list rather than being a joke entry. It has an uptime record no software here can match.
StudioBinder ranks first because it solves the version-fork problem better than anything else at its price, and version forks are the most common way a shoot day plan degrades before the day even starts.
The chain is the product. You break down the script, tag elements, build a shooting schedule from those scenes, and generate call sheets from that schedule. Because each stage inherits from the last, the call sheet the crew receives is derived from the breakdown rather than retyped from it. On productions where the schedule lives in one tool, the call sheet in a template, and the shot list in a spreadsheet, there are three places for a change to fail to arrive. Here there is one.
Day-of practicalities are handled well: call sheets go out with confirmations so you know who has actually opened it, weather and sunrise or sunset pull in automatically, and contact management means the crew list is not a separate document rotting in a shared drive. Shot lists and storyboards live alongside the schedule, which the camera department genuinely uses.
It is also the most approachable tool in this space. Indie, commercial, and branded content teams get productive in a day rather than a week, and the interface does not assume you were trained on studio workflows.
Against it: it is cloud-first, so the signal problem applies and you must export before leaving. Larger scripted productions will find the scheduling less powerful than Movie Magic, particularly on complex day-out-of-days and cast scheduling. And it does not track the camera clock. It tells you what the plan was, beautifully, and it will not tell you at 14:00 that you are ninety minutes behind it.
Pricing: Free tier for very small use. Paid from around $29/month, with higher tiers per production.
Shot Lister ranks second because it is one of the only tools here that addresses the camera clock, and it is startlingly underused given what it does.
The premise: you load your shot list with estimated durations, and during the day you tick shots off. The app tracks actual against estimated and shows you the drift in real time. That is the number the entire first section of this article is about, and this is the cheapest way to get it displayed on a device rather than carried in one person's head.
It works on-device, which means the signal problem does not apply. It reorders, it recalculates when you drop or add setups, and it can push an updated view to whoever needs it.
The reason it does not rank first is that it depends on somebody maintaining it during the day, and on a busy unit that person does not exist unless you assign them. It also does not build call sheets or handle distribution, so it is an addition to a stack rather than a replacement for one. And the estimates it measures against are only as good as the person who wrote them, which on a first-time production is usually optimistic by a wide margin.
Pair it with StudioBinder and you have both the plan and the drift, which is more than most productions have.
Pricing: One-time purchase or low-cost subscription depending on platform and version.
SetKeeper is built specifically around production paperwork and day management, and it is stronger than StudioBinder on the administrative reality of a running production.
Call sheets, daily production reports, crew and cast databases, document distribution, and version control are handled with more rigour, and the confirmation and tracking around who received what is genuinely useful on units large enough for that to be a question. For productions where the paperwork chain has legal and insurance weight, this is a serious tool.
It is priced and pitched per production rather than as self-serve software, which suits scripted and larger commercial work and makes it a poor fit for a freelancer running four small jobs a month.
Like StudioBinder, it serves the call sheet clock and not the camera clock. I evaluated this hands-on on test productions rather than a full shoot, so weight the day-of judgment less heavily than the StudioBinder one.
Pricing: Quoted per production.
Movie Magic Scheduling is the industry standard for scripted scheduling, and on productions above a certain size the question is not whether to use it but who is operating it.
Stripboards, day-out-of-days, cast scheduling, element tracking, and the ability to reason about a complex shoot across many weeks are all deeper here than anything else on this list. A first AD trained on it works faster in it than in any modern alternative, and the output is the format the rest of the industry expects, which matters when your schedule has to be read by a completion bond or a studio.
It is desktop software, so it works without signal, which is a genuine advantage.
Against it: it is upstream of the shoot day rather than on it. It builds the schedule that the call sheet comes from; it does not distribute, confirm, or track. Licensing is quoted rather than published and is heavy for small productions. And the interface is from a different era, which is defensible for a tool this specialised and still a real training cost.
For a commercial, a short, or a documentary, this is usually more tool than the job needs.

Yamdu's distinguishing idea is that different departments need different views of the same production, and it executes that well.
Art, costume, locations, and production each get a workspace that shows what is relevant to them, drawn from one underlying plan. On productions where the art department is tracking three hundred props and the costume department is tracking continuity across forty scenes, that separation prevents the everything-in-one-spreadsheet collapse that eventually happens otherwise.
It covers scheduling, call sheets, and crew management, so it can be the single system for a mid-size production.
It sits between StudioBinder's approachability and Movie Magic's depth, which means on any given production something above it is often the better fit. Pricing per production per month suits scripted work with a defined run and fits awkwardly around continuous commercial output.
I evaluated this hands-on rather than across a full production, and department-heavy productions will have sharper opinions on the workspace model than I do.
Pricing: From around $25 per production per month, scaling with size.
PhotoPills is on this list because the constraint clock is the one that never negotiates, and light is the constraint most often mishandled by people who plan days on a spreadsheet.
It shows sun and moon position, golden and blue hour, and shadow direction for any location on any date, in augmented reality on site. For a scout, this converts "the light should be nice around then" into "the sun clears that building at 16:20 and you have until 17:05." That is a schedulable fact rather than a hope.
It works entirely offline once locations are saved, which matters precisely where you need it.
It plans nothing else. No call sheets, no schedule, no crew. It is a ten-dollar single-purpose instrument that pays for itself the first time it stops you scheduling an exterior an hour after the sun has gone behind a hill. Alternatives like Sun Seeker and Helios do the same job well.
Pricing: One-time, around $10.
Croogloo is a distribution tool, and on large productions distribution is a genuine discipline rather than an afterthought.
Sending the right documents to the right departments, tracking who has opened what, managing hundreds of contacts, handling revised pages and coloured revisions, and keeping an auditable record of what went out when. On a feature with a large crew this is a real job and Croogloo does it properly.
For anything below that scale it is heavy. A commercial with a crew of eighteen does not need document distribution infrastructure, and the cloud dependency means the signal problem applies to the moment of highest need. Rank it for yourself only if your productions are big enough that somebody's actual role is paperwork.
Pricing: Quoted per production.
An enormous share of real shoot days run on a spreadsheet, and it deserves an honest entry rather than a dismissal.
It is free, everyone can open it, it can be made available offline with one setting, and a well-built call sheet template is genuinely fine. Version history is automatic and better than most people realise. For a two-day commercial, a documentary shoot, or a small branded piece, this plus a PDF export plus printed copies is a completely defensible setup, and it is what a lot of experienced people actually use.
What you lose is the chain. The breakdown, schedule, shot list, and call sheet are separate documents with no relationship, so a change in one does not propagate, and on the third revision somebody is working from the second version. That is the version-fork problem that StudioBinder exists to solve, and it gets more expensive as the production gets bigger.
Use it below a certain scale without guilt. Notice when you have crossed the line, which is usually the moment more than one person is editing the schedule.

Storyflow is our own product and it ranks ninth on this list, below eight tools we do not make. It is worth being blunt about why, because a reader arriving from a search for shoot day software should not be sold something that does not do the job.
Storyflow does not run a shoot day. It has no call sheets. No stripboard, no day-out-of-days, no cast scheduling. No crew database, no document distribution, no confirmations, no daily production reports. It does not track the camera clock, and because it is cloud-only it may not open at all on the location where you need it. On the day itself it is close to the least relevant tool on this page.
What it is for is the weeks before. It is a visual canvas where references, notes, locations, links, and documents share one board, and the AI reads that whole board. In prep that is genuinely useful: the look, the location options, the scene list, and the questions nobody has answered yet sit in one place rather than across four tools, and you can ask what the plan is missing before it becomes a schedule. Its AI reads the current board plus up to one Tactic and three documents you @-mention, so the visual direction can be interrogated against the actual brief.
The honest handoff is this: whatever you decide in Storyflow has to leave Storyflow to become a shoot day. It becomes a schedule in Movie Magic or StudioBinder, and a call sheet in StudioBinder or SetKeeper, and a printed page in somebody's back pocket. If you are choosing one tool and the shoot day is the problem, choose StudioBinder and do not think about this entry again.
Beyond the missing production features above: it is paid-only during early access, with the Free plan arriving before the end of 2026, and Google Sheets is free today. It is cloud-only with no offline mode, which on a shoot day is disqualifying rather than inconvenient. And it is not a scheduling tool in any sense, so it cannot reason about the relationships between cast availability, locations, and days that a stripboard exists to express.
Pricing: Plus $7.99/mo annual ($9.99 monthly). Pro $14/mo annual ($19 monthly) adds AI image generation, roughly 20 times the AI volume, and memory across conversations. Max $39/mo annual ($49 monthly) adds roughly 40 times the AI volume and a team workspace with roles and permissions.
Milanote appears for the same reason as Storyflow and with the same caveat: it is a prep tool that a lot of directors and DPs genuinely use, and it does nothing on the day.
For look development, reference boards, and arranging a visual plan it is the most pleasant tool available, and boards shared with a DP or a production designer communicate well.
No scheduling, no call sheets, no distribution, no offline. It is on this list because people search for shoot day tools and land on prep tools, and it is worth stating plainly which side of that line a tool sits on.

The printed call sheet, the marked-up sides, the shot list on a card in the first AD's back pocket, and a Sharpie for the changes.
This is not a joke entry. It is the only item on this list with a hundred percent uptime record, it requires no account, it is legible to a crew member who has never used your software, and it works in a tunnel. On well-run units it is not a fallback but the primary interface for the day, with the software sitting behind it as the thing that produced it and will produce tomorrow's.
Its limits are obvious. It does not update, it does not propagate, and the version in one person's pocket can differ from the version in another's, which is exactly the failure that printed distribution is supposed to prevent and sometimes causes.
Include it deliberately in your process rather than by accident. The productions that get caught out are the ones that assumed the app would be available and never printed anything.
Pricing: Approximately nothing.
Pay for the chain, not the call sheet. Any template makes a call sheet. What is worth money is that the call sheet is derived from the schedule which is derived from the breakdown, so a change arrives everywhere. That is StudioBinder's actual product.
Pay ten dollars for the light. PhotoPills or an equivalent is the highest return-per-dollar purchase in film production and most people never make it.
Consider paying for the camera clock. Shot Lister costs very little and gives you the number nobody else displays. The reason to hesitate is not price, it is whether anyone on your unit will maintain it.
Do not buy production software for a two-day job. A template, a PDF, and a printer is the correct answer more often than the industry admits, and the money is better spent on an extra crew member.
Do not pay for prep software expecting it to run the day. This includes ours. Prep tools and production tools are different purchases and the marketing for both blurs it.
A call sheet that only exists in a cloud app. Export it. Print it. The one day the app does not load will be a day you remember.
A group chat as the schedule. Changes scroll away, there is no current version, and the answer to "what are we shooting after lunch" becomes whoever answers fastest.
A shot list nobody updates. An unmaintained shot list is worse than none, because people trust it. If nobody will own it during the day, do not pretend to have one.
Separate unlinked documents once you are above a small crew. The version fork is the failure, and it grows with headcount.
None of them estimate honestly for you. Every tool measures against durations somebody typed in, and on inexperienced productions those numbers are optimistic by thirty to fifty percent. The tool then reports drift against a fantasy. Estimating well is a skill, and the software inherits your skill rather than supplying it.
None of them make the cut for you. When you are ninety minutes down, somebody has to decide which setup dies. That is a creative and financial judgment about which shot the film can survive losing, and no tool will tell you.
None of them fix a plan that was never achievable. A large share of bad shoot days were unachievable on paper before anyone arrived, and every tool here will happily schedule a day that cannot be shot. The gap between the three clocks was baked in during prep, and the day just revealed it.
Shoot day software is sold on call sheets, and call sheets are the easy part. Any template produces one.
